For multi-location property operations

Turn vendor documents into reviewable work.

A 45-day implementation that reads incoming packets, checks required information against your rules, prepares the next task, and gives your team the evidence and approval control before anything changes in your systems.

One workflow. Existing systems. Measured operating results.

Approval gate

One intake process. Too many handoffs.

Vendor files move through inboxes, attachments, spreadsheets, and property systems. The work starts before a vendor can be routed or approved: identify the document, find the right details, check the packet, and send it to the right person.

01

Source-backed extraction

Each proposed field links to the document and passage it came from. Unsupported or conflicting values become exceptions.

02

Human-controlled actions

Staff review drafts and approve every external message, vendor decision, record change, and consequential action.

03

Operational measurement

Track volume, handling time, queue age, completeness, rework, exceptions, and approvals against a baseline.

From a real baseline to a controlled pilot.

The first deployment is vendor packet completeness and routing for one business unit. Your property management platform remains the system of record.

  1. Days 1–12
    Map and measure

Sample packets, system access, staff interviews, cycle-time baseline, decision boundaries.

  2. Days 13–19
    Approve the design

Required fields, rules, role matrix, retention, exception routes, and acceptance tests.

  3. Days 20–36
    Build and test

Intake, evidence view, review queue, integrations, audit events, and labeled-case evaluation.

  4. Days 37–45
    Run and report

Shadow mode, limited live cohort, training, corrections, KPI readout, and scale decision.

Synthetic examples illustrate the review experience. They do not process real documents or update a customer system.

Incoming source

Illustrative text from a synthetic packet. Source references are simulated for demonstration.

Needs review
Sample only. No messages are sent and no records are changed.

Test the economics with your numbers.

This calculator estimates labor capacity released. It does not assume that every saved minute becomes cash savings. The pilot measures the actual result.

    220staff hours released / month
    $8,360monthly capacity value
5.1 monthsillustrative sprint-fee payback on capacity alone

Illustrative model: volume × current minutes × reduction × loaded rate. Excludes software fees, the managed retainer, rework, revenue, and implementation disruption. A retainer needs its own measured value case.

    Defined work. Defined decisions.

The assessment confirms fit. The sprint implements one workflow. Managed operations supports quality and changes after launch.

Scope assumes one business unit, up to 10 packet/document classes, 25 approved fields, a supported inbox and system API, and client-provided process and security owners. The project excludes automated vendor approval, spending, bookings, legal or compliance determinations, and outbound messages without human approval. Third-party usage and licenses are separate.

Control is part of the design.

We already use ChatGPT. What changes?

The sprint connects a defined intake process to your existing systems, approved rules, evidence, role permissions, an approval queue, audit events, and measured performance. It is scoped to one workflow rather than an open-ended chat experience.

Can sensitive data stay inside our approved environment?

Data classification and approved processing routes are design gates. We minimize the data sent to a model, use only approved sources, and map vendors and retention with your IT and legal teams. If the proposed path cannot meet policy, the scope is redesigned before production access.

What happens when the extraction is wrong?

Unsupported fields are marked unknown, conflicts are surfaced, and reviewers compare a draft with its source. The first pilot requires approval for every external action and system write. Staff retain the existing manual process as a fallback.

What do you need from our team?

An executive sponsor, process owner, IT/security contact, sample packets, sandbox/API access, and reviewers for testing and the pilot. Dates depend on timely access and design decisions.
